客戶標籤與不開放線上預約
用標籤把個案分類、之後能一鍵篩選;以及當某位客戶不適合再自己線上預約時,怎麼安靜地把那條路關掉,而不影響你自己幫他安排。
這兩件事常被放在一起講,但它們是分開的:標籤只是分類,不會改變任何行為;不開放線上預約會真的擋掉一條路。你可以只用其中一個。
客戶標籤
標籤是你自己的分類詞彙,只有你看得到。常見的用法是「熟客」「朋友介紹」「公司行號」「行動需協助」——之後在個案清單上點一下就能只看這群人。
標籤不會影響預約、通知、收費或 AI 整理。它純粹是給你自己找人、認人用的。
貼一個標籤
1. 到「個案」分頁,點開某位個案。
姓名下方會有一列標籤。還沒貼過任何標籤時,那裡是一顆虛線的「標籤」按鈕。
2. 點它,在跳出的視窗裡勾選要貼的標籤。
3. 想貼的標籤還不存在?直接在上方輸入框打字。
沒有相符的標籤時,下面會出現一列「新增」,點下去就建好並貼上了——不必先跑去設定裡建。這是最常用的方式。
4. 點「完成」。
依標籤找人
回到「個案」分頁,搜尋框下方會出現標籤 chip 列。點一顆就只剩貼著那顆標籤的個案;再點一次取消,或點「清除篩選」一次清掉。
可以一次點好幾顆——留下的是同時貼著這幾顆的人。例如同時點「長期方案」和「行動需協助」,看到的是兩個都符合的那幾位,不是兩邊加起來。篩選中時,清單上方會告訴你符合幾位。
點下去會變成空清單的標籤會自己變暗、按不下去。所以你不會點到一半突然全空——變暗就是在說「這顆跟你已經選的沒有交集」。
這列只會顯示目前真的有人貼著的標籤。建好但還沒用的標籤不會佔位置。
點進某位個案再回上一頁,篩選還留著(搜尋字不留)。完全關掉 app 再打開就會清乾淨。
改名字、換顏色與刪除
到「設定」→「自訂選項」→「客戶標籤」。
編輯(鉛筆):同一個視窗裡可以改名字,也可以換顏色。 改名改一次,所有貼過這顆標籤的個案都會跟著變。你不需要一個一個重貼。 換顏色點下面那一排色點就好。 刪除(垃圾桶):這顆標籤會從所有貼過的個案身上移除。個案本身與紀錄完全不受影響。
每一列會顯示有幾位個案貼著,刪之前看得到影響範圍。
關於顏色
新建的標籤會自動拿到一個顏色,不用挑。顏色只是用來分辨,不代表任何意思——不是嚴重程度、不是狀態、也不是提醒。
一個實際好用的用法是分組:把來源類的(朋友介紹、公司行號)都設成同一色,身體狀況類的(行動需協助、長期方案)設成另一色。這樣一眼掃過去就知道哪些是同一類,不必逐字讀。
色盤裡沒有紅色和綠色,這是刻意的。app 裡的紅色與綠色已經在講場次的事(未到、已完成),如果標籤也用紅綠,同一個畫面上同一個顏色會有兩種意思。
不開放線上預約
有些系統把這個功能叫「黑名單」。這裡叫「不開放線上預約」,因為它描述的是實際發生的事——關掉的是他自己約進來的那條路,不是把這個人從你的系統裡拿掉。
關掉之後,會怎樣

最後三列是刻意的:你當下的決定應該壓過三個月前設的開關。如果哪天你想幫他排一次,系統不會擋你的路。
他那邊會看到什麼
時段照常顯示(公開頁在他按下送出之前並不知道來的是誰),送出時會看到一句:
線上預約目前無法使用,請直接與我聯繫安排時間。
不會告訴他被誰、為什麼擋下。他可能會傳訊息問你,而你可以選擇怎麼回、或不回。
操作步驟
1. 個案詳細 → 右上角「⋯」(個案選項)→「不開放線上預約」。
2. 可以填一個原因。
這個原因只有你看得到,永遠不會傳給對方。建議填——三個月後你看到這個標記,通常已經不記得當初為什麼了。
3. 點「不開放」。
之後這位個案的頁面上方會有一條狀態說明(什麼時候設的、原因),個案清單上他的名字旁會有一個小日曆圖示。想找出所有這類個案,用清單上的「不開放線上預約」篩選。
已經約好的預約怎麼辦
不會自動取消。 設定的視窗會告訴你還有幾筆未來的預約,但要不要取消由你決定、一筆一筆處理。
這是刻意的:自動取消會連帶觸發訂金退款與通知,一個開關按下去錢就自己動了。牽涉到錢的事,最後一下應該由人來按。
恢復
同一條路:個案詳細 → 右上角「⋯」→ 這時候顯示的是「恢復線上預約」。恢復後他就能再自己預約,原因備註也會一併清掉。
系統不會主動建議你擋掉誰。個案頁面上會顯示「未到 N 次」這樣的事實,判斷留給你——同樣是三次未到,可能是三次隨便,也可能是同一場車禍。
Client tags, and turning off online booking
Use tags to group clients so you can filter for them later; and, when someone shouldn't be booking themselves online any more, how to quietly close that door without affecting the appointments you make for them.
These two often get talked about together, but they are separate things. Tags are just labels — they change nothing. Turning off online booking actually closes a door. You can use either one on its own.
Client tags
Tags are your own vocabulary, visible only to you. Common ones: "regular", "referral", "corporate", "needs assistance". Later you can tap one on the client list and see only those people.
Tags never affect bookings, notifications, charges, or AI summaries. They exist purely so you can find and recognise people.
Adding a tag
1. Open the Clients tab and tap a client.
Under their name there's a tag row. Before you've tagged anyone it's a single dashed "Tags" button.
2. Tap it and tick the tags you want.
3. The tag you want doesn't exist yet? Just type it in the field at the top.
When nothing matches, an "Add" row appears — tap it and the tag is created and applied in one step. You don't have to go to Settings first. This is how most tags get made.
4. Tap "Done".
Filtering by tag
Back on the Clients tab, a row of tag chips appears under the search field. Tap one to narrow the list; tap again to clear it, or use "Clear filter" to reset everything.
You can tap several at once — that leaves the people carrying all of them. Tap "Long-term plan" and "Needs mobility help" together and you see the few who match both, not the two groups added together. While a filter is on, the line above the list tells you how many matched.
A tag that would empty the list dims itself and stops responding. So you never tap your way into a blank screen — a dimmed chip is telling you it has no overlap with what you've already picked.
The row only shows tags that are actually on someone right now. Tags you created but never used don't take up space.
Open a client and come back, and the filter is still there (the search text isn't). Fully closing the app clears it.
Renaming, recolouring and deleting
Go to Settings → Custom options → Client tags.
Edit (pencil): the same sheet changes both the name and the colour. Renaming once makes every client carrying that tag follow. You never re-tag anyone by hand. Recolouring is the row of dots underneath. Delete (bin): the tag is removed from everyone carrying it. The clients and their records are completely untouched.
Each row shows how many clients carry that tag, so you can see the blast radius before deleting.
About the colours
New tags get a colour automatically — there is nothing to pick. Colours only help you tell tags apart. They carry no meaning — not severity, not status, not a warning.
The one genuinely useful pattern is grouping: give every referral-source tag (Referral, Corporate) the same colour and every physical-needs tag (Mobility support, Long-term plan) another. Then a glance tells you which are alike, without reading each one.
There is no red and no green in the palette, on purpose. Red and green already speak about appointments in this app (no-show, completed). If tags used them too, the same colour would mean two things on the same screen.
Turning off online booking
Some systems call this a blocklist or blacklist. Here it's called "online booking off", because that's what actually happens — it closes the door they walk through themselves. It doesn't remove them from your system.
What it does and doesn't stop

The last three are deliberate: what you decide today should outrank a switch you flipped three months ago. If you want to fit them in once, the system won't stand in your way.
What they see
Times still show — the public page has no idea who's looking until they hit send. On sending, they get one line:
Online booking is unavailable. Please contact me directly to arrange a time.
It doesn't tell them they've been singled out, or why. They may message you about it, and you can answer however you like — or not at all.
Steps
1. Client detail → "⋯" at top right (client options) → "Turn off online booking".
2. You can note a reason.
That reason is private to you and never reaches them. Worth writing — three months on you'll see the marker and won't remember what happened.
3. Tap "Turn off".
From then on their page carries a status line (when you set it, and why), and their name in the client list shows a small calendar glyph. To see everyone in this state, use the "Booking off" filter on the list.
Appointments they already have
Nothing is cancelled automatically. The sheet tells you how many upcoming appointments remain, but whether to cancel them is your call, one at a time.
This is on purpose: cancelling would trigger deposit refunds and notifications on its own. When money is involved, a person should press the last button.
Turning it back on
Same route: client detail → "⋯" → the entry now reads "Turn online booking back on". They can book themselves again, and the private reason note is cleared.
The system never suggests who to block. The client page shows plain facts like "Missed 3 appointments" and leaves the judgement to you — three no-shows might be three careless days, or one car accident.
